Your personal information

What information do we collect?

We collect and process personal data about you and your children when you register them with us for dance tuition. This information includes:

  • Your name / the name of your children.
  • Your address, email address, phone number, and any other contact details you provide.
  • Any medical conditions your children have which we need to be aware of.
  • Your payment details, including credit card details, when you make purchases from us.
  • Your marketing preferences, including any consents you have given us.
  • Records of you or your child’s previous enrolments in our Academy.

How do we use your information?

We use personal information to provide our educational services and programmes, and to run our business. We have set out below information on the categories of personal information that we collect, the specific ways in which that personal information is processed by us, the legal bases which permit us to do this, and the types of partners with whom we may share your personal information.

In some cases where we ask for your personal information, we do so in order for us to fulfil your contract with us (e.g. requiring your child’s name so that we can teach them). If you do not provide that personal information we will not be able to fulfil your contract.

We use your information as follows:

  • To fulfil a contract with you, or take steps at your request before this, to:
    • Provide our educational services.
    • Use user uploaded images for our testimonials only with your consent.
    • Handle credit card information provided to us.
  • As required to conduct our business and pursue our legitimate interests, in particular:
    • Letting you know about our activities and promotional activities by post, email, and phone in accordance with your marketing preferences.
  • Where you give us consent:
    • If we need your consent in order to send marketing to you.
    • In relation to using photographs of your children on our website, social media pages, or other places.

Storing your personal information

We do not store your personal information outside of our Online Ballet Academy databases.

We will only keep records of your personal information for as long as is reasonably necessary for the purposes for which we have collected it, and in order to comply with any statutory or regulatory obligations in relation to retention of records.

We respect requests to stop processing your personal data for marketing purposes. Please note that this includes keeping a record of your request indefinitely so that we can respect your request in future.

Who we share your data with

  • Within Online Ballet Academy to our administrative and teaching staff .
  • With third party service providers who process your information on our behalf for the purposes above – such as payment processors, accountants, and our software providers
  • With LBHF Fulham as required by them.

We will also share your personal information if:

  • We think this is necessary to, in order to protect the rights, property, or safety of Online Ballet Academy, our employees, our commercial partners, or our customers.
  • Government authorities and/or law enforcement officials require it by law.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

If a user registers on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Giving and withdrawing your consent & updating your personal information

Where your consent is required for us to process your personal information, we will ask for your consent at the point at which you provide your data. You have the right to withdraw that consent at any time.

You can also update your personal information at any time by logging into your account and editing your details. You can also do this by contacting us directly.

Our programmes

While you visit our site, we’ll track:

  • Programmes you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed.

  • When you purchase from us, we’ll ask you to provide information including your name, billing address, email address, phone number, credit card/payment details and account information like username and password. We’ll use this information for purposes, such as, to:
    • Send you information about your account and order.
    • Respond to your requests, including refunds.

    • Set up your account for our store.
    • Comply with any legal obligations we have, such as calculating taxes.

Enrolling onto our programmes

What we collect and store

When you purchase access to our online learning programmes, we’ll ask you to provide email address. We’ll use this information for purposes, such as, to:

  • Send you information about your account and order
  • Create your account for our learning management system. When you register for your free account we will store your email address.
  • We store information about you for as long as your account exists.
  • We store course progress, including completion status, points, uploaded assignments and image submissions.
  • We will also store comments on courses, lessons, topics, assignments, and essays if you choose to leave them.

Who on our team has access?

Members of our team have access to the information you provide us:

  • Order information such as your enrolled programmes, programme progress and username / email address.
  • Any additional information added in your User Profile can also be visible to the administrator(s).

Payment

  • PayPal. When processing payments, some of your data will be passed to PayPal, including information required to process or support the payment, such as the purchase total and billing information. Please see the PayPal Privacy Policy for more details.

Miscellaneous

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here. After approval of your comment, your profile picture is visible to the public in the your comment area.

Media

If you upload images or documents to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
